Key takeaways from the Photonics Finland Annual Autumn Meeting 2025

Thank you to everyone who joined us for the Photonics Finland Annual Autumn Meeting 2025, which was held online on Friday, 28 November 2025.

The yearly Autumn Meeting was duly convened according to our rules and had a quorum. As required, it was held by the end of November, and both the invitation and the agenda were shared on our website and sent to members by email as follows: via the photonics-list on 20.11.2025 and 26.11.2025, and on the Photonics Finland website (photonics.fi) on 20.11.2025.

The meeting was opened by our Chair, Sanna Aukio, at 3:31 PM and proceeded to elect the Meeting Officers.

  • Secretary: Juha Purmonen
  • Minutes inspectors & scrutineers (if needed): Jouko Korppi-Tommola and Sanna Aikio

2026 Action Plan

The meeting approved the action plan for 2026. It follows the Finnish National Photonics Roadmap, with the main focus areas being:

  1. Enhancing the role of the Industry Advisory Board
  2. Executing ongoing projects with excellence
  3. Strengthening community engagement
  4. Organizing events and networking opportunities
  5. Collaborating with Business Finland on a Photonics Campaign/Program

2026 Budget

The proposed budget for 2026 was approved.

2026 Budget (estimates):

  • Income (projects & events): 560,850 €
  • Expenses: –617,100 €
  • Membership fees: 60,000 €
  • Result: 3,750 €

2026 Membership Fees

The Board proposed keeping the membership fees at the same level as in 2025, and the meeting approved this.

Individual Memberships:

  • Individual member: 45 €
  • Student member: 25 €
  • Community member: 450 €
  • Community site member: 45 €
  • Company site member: 45 €

Company Memberships:

  • 0–3 people: 165 €
  • 4–10 people: 375 €
  • 11–50 people: 450 €
  • 51–250 people: 575 €
  • More than 251 people: 700 €

Photonics Finland Representatives

The meeting elected and confirmed the Association’s representatives in governing bodies of organizations where Photonics Finland is a member:

  • Prof. Tero Setälä – Scientific Advisory Committee, European Optical Society
  • Prof. Jyrki Saarinen – Finnish ICO Territorial Committee
  • Prof. Juha Toivonen – Board of the European Optical Society
  • Prof. Zhipei Sun – National Optical Society Advisory Board of JEOS-RP

Amendments to the Association’s Rules

Two proposed amendments were presented and discussed (in English, although the official changes apply to the Finnish-language rules). Both were approved unanimously.

1) Board Composition

  • Current: “The Spring General Meeting elects a Board consisting of a Chairperson, a Vice Chairperson, and four to eight members (even number).”
  • New: “The Spring General Meeting elects a Board consisting of a Chairperson, a Vice Chairperson, and four to eight members.”
  • Reason:To resolve compliance (the requirement for an even number is removed) issues and allow flexibility in board composition.

2) Annual Report Terminology

  • Current: “The association prepares an annual activity report (‘toimintakertomus’).”
  • New:“The association prepares an annual report (‘vuosikertomus’) that includes both activities and financial overview.”
  • Reason: To better reflect the comprehensive nature of the report and align with common terminology.

No additional matters were raised, and the Chair closed the meeting at 3:35 PM.
